Project Focus
Turning disconnected activities into a repeatable, managed workspace.
The Challenge
GreenRoom needed a structured way to manage multiple areas of its operations, including sponsor and vendor relationships, event projects, and internal team communication. Managing these activities across separate spreadsheets made it critical to establish a source of truth.
The project focused on developing a centralised ClickUp workspace, with an interim CRM as its primary component, to organise essential business contacts, manage relationships and streamline event-related operations.
The Solution
01. Centralised CRM Database
Organised relationship management into four dedicated lists: Sponsors, Vendors, Employees and Partnerships.
02. Standardised Project Management
Established reusable project templates containing To-Do Lists, Content Planners, and Event Checklists.
03. Content Planning & Scheduling
Structured content planner for publishing activities by platform, responsible member, and due date.
04. Sponsorship Follow-Up Tracking
Configured tracking to record outreach responsibilities, contact dates, and next actions.
05. Event Operations & Task Management
Created checklists covering Venue, Media, Finance, and Marketing to monitor progress fields.
06. Collaboration & Visibility
Established workflows for coordinating tasks through ClickUp channels and Google Calendar integration.
Beyond Project Management: Interim CRM
ClickUp was configured to serve a dual purpose: relationship management and project coordination. We structured the CRM around four key pillars: Sponsors, Vendors, Employees, and Strategic Partnerships.
Documentation & Handover
A comprehensive Standard Operating Procedure (SOP) was prepared to document workspace navigation, CRM data quality, and ongoing workspace review procedures.
The Outcome
- Centralised access to operational data
- Consistent project setup through templates
- Clear stewardship of tasks and responsibilities
- Better visibility into event progress
